Terms and Conditions
Deposit:
A deposit in the amount of up to $500.00 must accompany the signed agreement. NO RESERVATIONS WILL BE HELD WITHOUT A DEPOSIT.
Cancellation:
Any cancellation of a contracted event must be made at least ninety (90) days in advance of POLICY the first scheduled day of that event. Deposits received for events not canceled prior to the ninety (90) day period will not be returned to the lessee. Also, any lessee who has entered into a contractual agreement within the ninety day period and cancels their event will automatically lose their deposit.
Payment:
All payments due to Cocoa Expo Sports Center, Inc. shall be paid in US funds in the form of cash, certified check, money order or credit card (MC, VISA, AMEX). Payment, in full (including damage deposit), is due no later than two weeks prior to the scheduled event. All payments are non-refundable. In the event inclement weather forces the cancellation of a scheduled event, a makeup date will be selected by mutual agreement of Cocoa Expo and the Lessee.
Damage:
A $500.00 damage/cleanup deposit ($1,000.00 for the Fieldhouse) is required from all DEPOSIT groups leasing the facility. This deposit is due no later than two weeks prior to the event. It will be returned at the end of the event, provided there is no damage or excessive cleanup required by the Cocoa Expo Sports Center.
Concessions:
Cocoa Expo Sports Center has sole and total control over, and rights to sales and serving of & CATERING food and beverages (both alcoholic and non-alcoholic) and all other concessions required for any purpose related to this lease. The Lessee, it’s employees, agents, or guests shall not give away or sell any of the items listed above unless permission is granted by Cocoa Expo Sports Center, Inc.
Parking:
Parking shall be permitted only in the designated parking areas of the Cocoa Expo Sports Center property. Lessor shall be responsible for providing the parking concession and all parking personnel. Lessor will charge a fee of $3.00 per car. If Lessee does not want a parking charge, Lessee may pay Lessor a flat fee of $1,500.00. This must be decided and the fee paid no later than 2 weeks prior to the event.
Insurance:
Lessee shall retain throughout the term commercial liability of broad form comprehensive general liability to include the premises/operations, products/completed operations hazard, broad form contractual and personal injury. Limits of liability shall be not less than one million dollars combined single limits for bodily injury and property damage. A Certificate of Insurance shall be filed with Cocoa Expo one week prior to the beginning of the event. The Certificate shall name the Cocoa Expo Sports Center, Inc. as an additional insured and shall cover occurrences on any part of the Sports Center property.
Security:
Tenant shall at Tenant’s sole expense, provide the exact number of security personnel, as recommended by Cocoa Expo Sports Center. Tenant shall provide Landlord with a written contract for such security services at least one week prior to the date of the event.
